Damaged Dressing Packs in First-Aid Vending: A Stock-Hold Procedure

A torn dressing wrapper or opened sterile pack should not return to the machine simply because the item inside appears clean. Packaging forms part of the product's protection and identification. A clear stock-hold procedure helps refill teams respond consistently when a questionable pack is found during loading, delivery testing or a customer report.

Define what staff should look for

Use the supplier's packaging criteria to identify broken seals, punctures, moisture damage, missing labels and other concerns. Include examples of acceptable and unacceptable outer-pack variation where available. Staff should not have to invent their own interpretation of a sterile barrier.

Distinguish a removable shipping carton from the individual retail package. A delivery carton can be damaged while enclosed packs remain unaffected, but that decision needs an approved inspection method. Do not assume the contents are suitable without checking.

Separate questionable stock immediately

Place held items in a clearly identified area away from stock ready for loading. Record the product, lot information where available, quantity, discovery time and reason for the hold. Keep an unopened reference pack when needed for the supplier's investigation.

Do not tape a damaged sterile wrapper closed or transfer the contents into an unapproved bag. Ask the responsible product supplier or quality contact to determine the disposition. The refill team needs an explicit release decision before held stock re-enters service.

Check whether delivery caused the damage

If a customer reports damage after collection, identify the selection and mapped channel. Review the loading position, delivery path and pickup opening using appropriate test samples. A correctly loaded package may still catch on an edge or become compressed during movement.

Withhold the affected selection while the issue is assessed when necessary. Test the corrective arrangement before reopening it. Replacing the damaged item alone does not establish that the next pack will arrive intact.

Close the record with a clear outcome

Document whether the stock was rejected, replaced or released by an authorized person. Link any machine adjustment to the relevant product and channel. If several packs from one incoming lot show the same defect, escalate the wider pattern rather than treating each as an isolated event.

The finished procedure should be short enough for a refill visit: identify, hold, record, escalate and release only when authorized. That consistency protects the integrity of the packaged supply assortment.
